Human Resources Assistant

Reports to Human Resources Director

 

      Essential Function:

  1. Assists in the administration of all the Center’s Personnel and Human Resources

function.

 

Duties and Responsibilities:

1.      Responsible for obtaining, coordinating and managing all new hire staff’s employment documentation on a timely and consistent basis (including work-studies and volunteers).

2.      Responsible for maintaining all human resource’s filing systems in order and up to date.

3.      Responsible for monitoring the funding awarded to the work-study staff to ensure that

      they stay within the awarded amounts.

4.      Assists the Human Resources Director and the Chief Operations Officer on administrative

      duties as needed.

5.      Responsible for keeping the General Staff List log up to date on a timely and consistent basis.

6.      Assists the Reception area on a daily basis to answer phones when the regular Receptionist is on

      his/her lunch break.

7.      Responsible for copying, logging, distributing and filing of applicants resumes.

8.      Responsible for reviewing, correcting, updating, collecting and managing of electronic and printed

      timesheet reports and for updating and distribution of the time-off report.

9.      Assists in the updating and maintaining of the Administrative and Personnel manuals.

10.  Assists in the completion and managing of payroll reports.

11.  Understands and implements the Developmental Assets model of the SEARCH Institute.

12.  Participates in Center-wide events, programs and celebrations as required.

13.  Participates in supervision, meetings and workshops within the Center and outside (if applicable).

14.  Participates in 40 hours of staff development training per year.

15.  Performs other duties as assigned.

 

Position Specifications:

An Associate’s degree in business administration or equivalent education is required.  Also requires a minimum of 1 year experience in human resources or similar field.  In addition, requires excellent communication skills, both written and verbal, and good organizational skills, and experience with Word, Excel and PowerPoint.  Vehicle and current valid driver’s license also required.  Ability to pass a background check and if required the Illinois Department of Children and Family Services fingerprint and background check.  All qualified applicants will receive consideration for employment without regard to race, ethnicity, religion, gender, sexual orientation, national origin or disability.
